AUTOMATION · BOOKINGS · 7 MIN READ
The first workflow should be frequent enough to bring value and clear enough to be monitored without hidden assumptions.
1. Start with a clear event
A newly confirmed booking, a change of dates or a guest’s departure can trigger the next step. Before automating, establish which system confirms the event and which data is verified for subsequent use.
2. Separate automation from decisions that require judgement
Sending a standard internal notification or opening a task is usually well constrained. Sensitive exception, payment or complaint decisions should have a clear place for human review.
3. Measure exceptions too
In addition to the number of automatically processed cases, track failed transfers, manual corrections, and time to exception resolution. This way you can see if the workflow really reduces friction or just moves it.
Checkpoints before the first workflow
At each step, record the input data, its source system and the person alerted if processing fails. This reduces the risk that a change to an API integration silently leaves a booking without the necessary operational step.
Start with one workflow, such as a confirmed booking. Once processing is reliable, extend automation to amendments, cancellations and post-stay communication. FAQ
Should I first change the PMS or automate the existing process?
First, check if the existing system has reliable data and a clear way of exchange. Automation can be a separate layer, but it must not hide the lack of data ownership.
Which exceptions must remain visible to the team?
Failed transfers, duplicates, changes that violate business rules and situations affecting guests should go into a clear queue for manual resolution.
How to know if automation brings value?
Compare manual work time, number of manual corrections and exception handling time before and after the introduction of the same workflow.
